Information collected
We may collect customer contact details, the participant’s name/contact details, filming location, preferred dates, relationship information, story context, accessibility notes, booking/payment status, written permissions and administrative production notes.
Why we collect it
Information is used to assess enquiries, contact the customer/participant, plan and deliver the production, document participant permission, create invoices/receipts, manage the production workflow and respond to legal or consumer-service issues.
Recording and story content
The actual interview recording is separate from the website enquiry data. It may contain deeply personal information. The participant controls the recording/use permission process. A customer’s interest in public sharing is not treated as the participant’s consent.
Public and marketing use
The standard film is private. A separate participant permission records whether the film remains private, may be held in a private Katha Hijo Ko archive, or may be publicly released through Katha Hijo Ko. Marketing permission is recorded separately and can be “none” even where public oral-history release is allowed.
Security and spam protection
The booking form does not collect card details. The application uses CSRF protection, request rate limiting and spam checks. The booking system stores a one-way hash of the submitting connection address rather than a plain IP address for this workflow. Participant permission links are generated with random tokens; only a hash of the token is stored in the database.
Who can access the information
Administrative booking data is available to authorised Katha Hijo Ko administrators who need it for the production. We do not make private booking records public. External services used for agreed delivery, accounting, storage or other production functions should receive only the information reasonably necessary for that purpose.
Retention
Business and consent records may need to be kept for legal, accounting and production-history reasons. Raw/working media is not promised as permanent storage and may be removed after the retention period stated in the service terms unless a different arrangement is made. Families should keep their delivered USB/digital copies safely.
Corrections, questions or permission changes
Contact contact@kathahijoko.com if contact details are wrong, you have a privacy question, or a participant wants to discuss a permission they previously gave. What can practically be withdrawn after material has already been published may depend on the circumstances, so contact us as early as possible.
Important scope
This notice describes how this Katha Hijo Ko workflow is designed to handle personal information. It does not make a blanket claim that every provision of the Commonwealth Privacy Act applies or does not apply to the legal seller; statutory coverage can depend on the circumstances.
